Who I am

Visual Network is a trading name of ZZZ Media Ltd, registered in England and Wales, company number 09208706, registered office 3 Brookfield Way, Cambridge CB23 5EB. ZZZ Media Ltd is the controller of the personal information described here. You can contact me about privacy at hello@visualnetwork.co.uk.

What I collect and why

When you use the contact form, I receive what you type: your name, email address, and, if you choose to add them, your business name, website, timescale, budget range and message. I use this only to reply to your enquiry and, if we go on to work together, to run that work. The lawful basis is taking steps at your request before entering into a contract, and my legitimate interest in answering enquiries.

When you ask for the free AI visibility check, I receive your name, email address and website address, and, if you add them, what best describes your business, what you do and where, and any note. I use this to run the check, email you the report, and follow up about it. The lawful basis is your request and the consent you give on the form. To run the check, my tool Visibility Pilot reads your public website and sends questions about your kind of business and your area to ChatGPT, Claude, Gemini and Perplexity. Those questions do not include your name or email address.

When you send a request through my client request page (help.visualnetwork.co.uk, which I share with clients and which needs an access code), I receive what you type: your name, business name, email address and website, and the details of what you would like help with, such as a recommendation from your report, the platform your website uses, the access you can give, and, if you add them, your phone number and any note. I use this to reply, to assess the work and to quote for it. The lawful basis is taking steps at your request before entering into a contract. The page sends your request to my inbox and emails you a confirmation with its reference. It keeps nothing of what you typed.

When you email me, I receive your email address and whatever you write, and use it in the same way.

Please do not send passwords, API keys, or other people's personal or confidential information through the form or by email.

Who else handles it

  • Web3Forms receives what you submit through the contact form and the free check form, and forwards it to my email inbox.
  • Meta (Facebook), only if you accept its cookie: see Cookies below.
  • My email provider stores the messages I receive and send.
  • My website host keeps standard server logs, such as IP addresses and the pages requested, for security and to keep the site running. It also runs the request page and sends its two emails (your request to me, and your confirmation) through my email provider. To stop abuse, the request page briefly keeps a count of recent attempts from each connection, stored as a scrambled code rather than your IP address and deleted after a day, and a simple log of times and request references, with nothing you typed.

These providers act on my behalf. Some of them may process information outside the UK; where they do, they are required to protect it to the standard UK law expects.

I do not sell your information, add you to a mailing list, or share it with anyone else unless the law requires it.

How long I keep it

If an enquiry or a free check does not lead to work, I keep it for up to two years in case you get back in touch, then delete it. If we work together, I keep project and billing records for as long as the law and my accounts require, usually six years.

Cookies and similar technology

This website uses no analytics. It uses one advertising tool, the Meta Pixel, and only if you say yes.

  • The Meta Pixel. I advertise on Facebook and Instagram, and the Pixel tells me which ads bring visitors here and which lead to a free check request. When you first visit, a banner asks whether you accept it. Nothing from Meta loads unless you press Accept. If you do, Meta sets a cookie (_fbp, and _fbc if you came from an ad) and receives the pages you visit here, your browser details and IP address, and, when you send the free check form, the fact that a request was made, but not what you typed. Meta Platforms Ireland Limited uses this information under its own terms and privacy policy, and may combine it with what it already knows if you use Facebook or Instagram. The lawful basis is your consent. You can change your mind at any time with Cookie settings at the bottom of every page; choosing No thanks removes the cookie from this site.
  • Your cookie choice itself is saved in your browser's local storage, so the banner does not keep asking. It never leaves your device.
  • If you choose a Light or Dark theme, that choice is saved in your browser's local storage so the site remembers it. It never leaves your device. Choose Auto to remove it.
  • The video on the site comes from YouTube in its privacy-enhanced mode, and nothing loads from YouTube until you press play. Once you do, YouTube's own privacy policy applies.
  • If you arrive from one of my ads or from another website, the site notes where you came from, such as which ad it was. That note is kept in your browser for this visit only, and is sent with a form if you fill one in, so I know what worked. It does not identify you.

Your rights

You can ask to see the personal information I hold about you, to have it corrected or deleted, to restrict or object to how I use it, or to have a copy to take elsewhere. Email hello@visualnetwork.co.uk and I will reply within one month.

If you are unhappy with how I have handled your information, please tell me first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
